Register both High School & Middle School teams in same organization

Sorry for an admin type question, but, our organization is registering two teams for the first time. We cover both middle school (MS) and high school (HS) and will have one team of each. I see from some posts that a few of you also have this organizational structure. My question is, how to register our two ‘teams’ for the $100 (1st team) + $50 (2nd team) registration fees. The demographics to assign school age is attached to the Organization not the individual Teams.

Do we have to register our organization twice with one team under each with different numbers? If so, am I to assume that we would be charged 2x$100? (there goes our backup battery!)

Any experience or direction would be appreciated as we want to get on-board as soon as possible. Note: I did ask this question in the RECF site last week but did not get a response. I know they are busy with limited resources so I thought I might find an answer here. Thank you.

Yes, you will be twice. You are not really registering your organization. You are registering for the use of the team number. (each one)

For example we, the “Iron Chargers” have:

4149C
4149G

But both are the “Iron Chargers”. We have to pay to register both of them. I believe they give you a slight discount on the second team at checkout if you do them both at the same time.

Several of our neighboring organizations do this. My understanding is that is you use the same number you pay $100 + $50, if you use different numbers you pay $100 + $100. One district near us wants each school to have different numbers so they are distinguishable, another wants the whole district to have the same number regardless of which school the students come from. It comes down to personal preference.

I do not believe it matters if you are registering in that fashion.

I think you have to register again if you are registering teams in two different competitions. For example, say you registered a Vex U team. You cannot add a Vex IQ team for 50 dollars because the Vex IQ team is in a different competition. I think the same logic applies for Vex HS and MS.

RECF Matt was out of town last week so maybe that’s why you did’t get an answer. You should be able to register for $150 total for both teams. He’s normally great at getting back with us:

That’s a little different because VEXU and VEX IQ Challenge are completely separate programs, while VRC HS and MS are the same program, but different levels.

Thank you all for your quick responses. I think logic will prevail and we will need to register twice as two organizations. SFSCA w/High School checked and SFSCA w/Middle School checked. That will result in two different team numbers @ $100 each, but I understand the logic to avoid confusion especially when you get to State and National/World level events.

I will confirm all this w/Matt. I chatted with him last month when we were ‘thinking’ of forming teams and looking for a sponsor. As of last week we just formed two teams and have our first curriculum session tomorrow. The kids are beyond excited as are the parents, for now :slight_smile: Thank you all again.

There is precedent for both approaches. There are organizations here in Wisconsin that have used the same team number for both their HS and MS teams, not uncommon at all. Our middle school have 5 VRC teams and 9 IQ teams, all under the 2626A through 2626Z numbers. VRC works down from A, IQ works up From Z (just the way our coordinator there chose to do it). There are also groups that have separate team numbers for their HS and MS VRC which are separate from their IQ teams. As for VEXU, they don’t use numbers, they use strictly letters only.

My organization has one high school team (8044) and one middle school team (8044B) under the same team number - so I know it can be done (heck, I was one that registered the teams). But darned if I can’t remember how I did it! All this to say: yes, you can have both middle school and high school teams in the same organization.

OK. This is how you do it. On your dashboard, your registered teams will show up. Click the “edit” button to the far right and your team information wil show up. There is a pull down menu on that page that has “grade range.” You can select middle school or high school.

We grew out of a single team number and use a few numbers. We pay $100 for the first team registered in each and manage them all together with one payment.

I think our RECF representative had to assign these all to us. I was not the first to use them, it was a long time ago now.

80 - middle school VRC Vexmen (our primary middle school number) - 18 teams
81 - high school VRC Vexmen (our primary high school number) - 10 teams
90 - middle school VRC Vexmen (did not use this one last year but may this year)
91 - high school VRC Vexmen (one team but more coming this year) - 1 team
92 - IQ - 6 teams

We had 34 teams last year and I think we will expand a few more this year as we have some backfill to do in 6th grade. Seven teams are moving up from MS to HS.

So after we register our first team #99999A in High School, we go back, click to add additional team and edit HS to MS and register team #99999Z. Now that sounds logical, if not intuitive. We will try that when we register our second team. Thanks.

You register all the team numbers. I think the default is that all the teams will initially be at the same grade level. After the registration is complete, you can go in and change the grade level in each individual team’s profile.

The way I learned this was when it came time to register for my first event. My middle school team was blocked from signing up for a middle school event because they were showing up as a high school team. All I had to do was change their profile setting and they were able to register. It was actually a lot easier than I thought it would be.

Here is the deal. If the Middle School and High School are two different buildings, you should be registering two different team numbers, and yes, it would be $100 per first team for each of the MS and HS teams. Then any team after that, with the same number, would be $50.

However, if you are a single organization or group that has both middle and high school students combined, but you keep those teams separate, you can register them under the same number and then have some teams designated as MS and some as HS. This is much more rare, and the system is not setup to do this when you are first registering. But can do it, and you do it exactly the way that the Gear Geeks suggested. That is, to register them both as the same grade level initially, then go in and edit the team information in your account, and change the grade level for each individual team.

But I do want to repeat that you should only be doing that if your organization is mixed within a single building. Two different locations should never have the same team number. You can see that VEXMEN keep their teams differentiated from MS and HS even though they are one organization, not even affiliated with a school. This is the preferred method and eliminates confusion at events when they are looking to give away grade specific awards such as a HS Excellence and a MS Excellence Award at a large blended event.

For the first team $100 registration, you get a Welcome kit that comes with a sample game element (this year, it is the star), plus an Engineering Notebook, and your License Plates, with a few other resources added in. With each additional $50 registration, you only get the License Plates. So, getting the $100 team registration does get you more.
