With the new rule about turning off team swapping 2 weeks before an event, I am curious what EP’s will do when schools ask EP’s to switch out 1 team for another. For example, we have our first tournament coming up on 11/4, we are within the 2 weeks. One of the teams I have registered is done for the season, they are no longer a team. I have 5 teams wanting to get the spot we paid for. Who should get the spot that my school paid for, one of my teams on the waitlist? If so, that’s swapping. Someone else on the waitlist?
Contact the EP and include the Event Engagement Manager and Team Engagement Manager. Each situation is different, so exceptions will need RECF to sign off on it.
I believe 1 of the original team members must be in the new team.
I mean if I have 5 teams, A, B, C, D, and E. I register and pay for A-D to take part in a tournament. 1 week away, I find out B can’t make it and E can. With the swapping turned off, what should I do if I want to swap a team? I was told that due to policy, teams can’t be swapped. I think it is possible to swap out E for B with the RECF ‘signing off’ to it.
I just want to be sure what the official stance is on this because it creates a gray area. In my 10 years of hosting touranments, I have had coaches contact me the week leading up to the tournament asking to swap teams out for other teams from the same school. It has never been an issue, I have always swapped them out.
So this was the post you wanted to read and follow. You are NOT going to get an “official response” here. If you contact the EP and the EEM (RECF) and the TEM (RECF) you will get an official response.
For things like this, contact the RECF people in your state / region. They are the fastest, simplest, best, official way to deal with these issues.
Trying to explain it better / more / detailed to people that can’t make an official response is a waste of your time. Call your RECF person.

I can only imagine that some organizations misused/abused team swapping in the past and this is the RECF solution.
A number of things have been removed from local EP control .
Unfortunately, in regions where events fill really quickly a few teams were registering extra teams as a way to circumvent the Early Bird policy. They would register a “fake” team that still had early bird spots for a comp that was expected to fill quickly, then show up at the event with the real team asking the EP to swap them.
Thank you for the responses! I see why the policy was put in place with teams registering fake teams. With that said, I was able to communicate with the RECF and swapping teams for the right reasons is still possible. The people in my district are still planning to enforce it, even if the reasons for the swap are genuinely good, even after the RECF said swapping was ok. Sounds like it is an isolated issue and most people won’t have to deal with it.
