are there any grants or programs to help a team who can not afford to go to worlds but has qualified to attend? we are a small public library and do not have the money.
Worlds is to expensive. Way to expensive. Vex is to expensive. Way to expensive.
This statement sums up everything. We are a small team from Vietnam and we qualified last year. In order to compensate the copious fee, it’s important to reach out to sponsors early.
If anyone is ever worried about money you can get sponsors or sign up for like go found me accounts but probably just get sponsors
…Kind of the point. Vex is too expensive to any team…
… unless the team is willing to put in the effort to get the needed grants and sponsors and/or host events. Our organization is a self-funded community team, and we raise all our operating funds through these activities.
Its definitely hard now that vex has became so extensive for the high tier competitions. I don’t see a ton of this in VRC but it is 100% a thing in FRC to get sponsorships. Depending on were you are located and what not worlds can be anywhere from 25k (for luck Texan teams) to well over 100k for overseas teams. Trying to attend worlds can be quite a tall task so I would start now. First off I would think of some very low level sponsorship perks for teams. Adding tiers/scale to it can also help. Most of our perks are more related to our FRC team although we do try our hardest to offer VRC Perks too. Things to look at would be company logo on the robot (just a small sticker on the robot), logo on team shirts (if you do team shirts), website logos, in person robot presentations/demos.
Now that you have your perks you need a way to get your message out to companies. We use a lot of e-mail of technology companies as one of our major ones. You will just need a basic letter of what accomplishments, team goals/values, team goals. You will also want to include how that money or service they provide will be used (ex travel cost, robot materials, ect.) Lastly a bit on your perks based off the donation value and why these perks are good (your company will be seen by everyone at worlds). You also may want to visit local businesses as a team to present and ask in person.

I would say the 25k to 100k number is a little extreme…
Once you include food, travel, room and board, registration, for our team it comes out to about 40k the higher end may be a bit extreme but for long distance large number teams it could be very real. Maybe the bounds are a bit off at the extremes but i think most teams when they sit down and fully tally it up will fin themselves in this range.
Just figured I’d share since I have all the finances up to date. My team (4 people total with no adults cause VexU) spent $3256.32. We tried to keep costs low as possible and drove down the day before the opening ceremony (to get checked in and watch hs dome) and drove back after elims for VexU.
that seems very low some questions. A what in all does that cover? Are you in Texas? Ig the 4 people definitely helps as our club is like 12 but still. i would think it would cost a bit more. If you did get by on that may I say well done on keeping costs low…
Vex is expensive, in both time & money.
Sponsors are the best way to get money, and 1 thing to remember is that get a sponsor before the season starts. In my school district, we launched vex with multiple sponsors, and got many teams to worlds/state both.
